Locate all data

The primary server location does not describe the entire service. Ask where backups, replicas, logs and monitoring tools reside. Identify flows to third-party services, including authentication, email and support.

Understand who operates the service

Identify providers, subcontractors and people able to administer resources. Location alone is not a certification, a compliance guarantee or a complete answer to sovereignty concerns. Requirements depend on your business and the data processed.

Define protection and continuity

Specify isolation, encryption, key management, backups and auditability. A multi-site architecture may reduce common failures, but network dependencies and recovery procedures must still be assessed.

  • Specify locations in the contractual scope.
  • Define conditions for location changes.
  • Match continuity objectives to actual capabilities.

Prepare for exit

Define how data and configuration can be retrieved, in which formats and within what timeframe. Include transfer costs, migration assistance and handling of remaining copies. A representative export trial helps uncover hidden dependencies.

Things to check.

  • Primary and secondary data located
  • Operators and access identified
  • Protection and continuity defined
  • Export and exit planned
